Cancelation Policy
Refundable Deposits
-
Refund Eligibility: All deposits made for our cycling tours are fully refundable up to 15 natural days before the scheduled start of the tour. If a cancellation request is received 15 natural days or more prior to the trip, the full deposit will be refunded.
-
Non-Refundable Deposits: Any cancellation requests made less than 15 natural days before the trip will result in forfeiture of the deposit. At this point, the services contracted by the customer have been booked and deposits have been paid on them, so a refund is no longer possible.
Personal Emergencies
-
Personal Emergencies: While we understand that personal emergencies can occur, the 15-day refund policy is maintained without exceptions. We recommend considering travel insurance to cover unexpected personal emergencies that may result in trip cancellation.
Unexpected Weather and Natural Disasters
-
Weather and Natural Disasters: In the event of severe weather or natural disasters, the company will make every effort to reschedule the trip or offer alternative options. However, if the trip proceeds as scheduled and a participant chooses to cancel within 15 natural days of the start date, the deposit will not be refunded.
Terrorism and Safety Concerns
-
Terrorism and Safety: The safety of our participants is our highest priority. If a trip is canceled by the company due to credible threats of terrorism or other safety concerns, participants will be offered a full refund of their deposit or the opportunity to reschedule without penalty. If a participant chooses to cancel within 15 natural days due to personal safety concerns without an official trip cancellation, the deposit will not be refunded.
General Legal Clauses
-
Modifications and Cancellations by EpicCycloTours: EpicCycloTours reserves the right to modify or cancel any tour due to unforeseen circumstances, including but not limited to natural disasters, political instability, or insufficient participation. In such cases, participants will be informed as soon as possible and will be entitled to a full refund of their deposit or the option to transfer to another tour.
-
Force Majeure: The company shall not be held liable for any failure or delay in performing its obligations where such failure or delay results from any cause beyond its reasonable control, including, without limitation, acts of God, natural disasters, war, terrorism, or any other unforeseen events.
-
Travel Insurance: We strongly recommend all participants obtain comprehensive travel insurance that covers trip cancellations, personal emergencies, and other unexpected events. The company will not be liable for any losses incurred due to cancellation within the non-refundable period.
By booking a tour with our EpicCycloTours, you acknowledge that you have read, understood, and agreed to this cancellation policy.
